How Munster Rugby ‘crash tackled’ their expenses

Ireland’s leading professional and two-time winners of the European Rugby Champions Cup, Munster Rugby turned to Webexpenses to help them tackle their expenses.

Prior to giving Webexpenses a try, Munster Rugby used a paper-based process using excel spreadsheets to manage 200-250 claims each month in peak season. This proved to be a mammoth task and not the sort of challenge they wanted to wade through.

One of the biggest complications they faced was there was no formal policy in place - there was no way of checking for duplication, claims often went missing and with little visibility of where they were in the process, it caused frustration for the finance team and claimants.

Munster Rugby looked to Webexpenses to provide an easy-to-use solution that could save them time.

Since implementation, monthly expense management processing time has reduced - the finance team has experienced a huge reduction in paperwork. Integrating a clear and concise expense policy into the Webexpenses system has also enabled any out-of-policy claims to be clearly flagged for quick and easy review.

Webexpenses was able to provide clear visibility of all stages of the expenses process, so the claimant was fully aware of when they would be paid enabling them to focus entirely on scoring that all-important try.
